Shopify Bulk Status Guide: Active, Draft & Archived Products
To change the status of many Shopify products at once, select them in your product list and use a bulk action to set them as active or draft, or to archive them. For large catalogs, you can also export your products, change the Status column in the CSV and import the file back.
Product status controls whether customers can see and buy each product. Bulk changes help when you launch a new collection, hide seasonal stock or clean out discontinued items, and getting them right keeps the wrong products from going live or disappearing.
Shopify Product Statuses Explained
Every Shopify product has a status that decides where it appears. This table shows how each one works:
| Status | What customers see | Common use |
|---|---|---|
| Active | The product can be sold on the sales channels it’s published to | Products ready to sell |
| Draft | The product is hidden from customers but stays editable in the admin | New products still being prepared |
| Unlisted | The product is hidden from store browsing and search but opens from a direct URL | Private offers, gifts or campaign links |
| Archived | The product is removed from your store and moved to the Archived tab | Discontinued products you want to keep on record |
Archiving doesn’t delete a product, so its details stay in your admin for reference. When you unarchive a product, it returns as a draft, so set it to active again before expecting it to appear.
How to Change Product Status in Bulk
Bulk actions in the product list are the quickest native way to change status for many products. Follow these steps on desktop:
- In your Shopify admin, go to Products.
- Filter the list to find the products you want, such as by tag, vendor, product type or current status.
- Select the products with the checkboxes.
- Choose the status action from the bulk action bar or the More actions menu, such as setting products as active or draft, or archiving them.
- Confirm the change.
To select more than one page of products, use Select all 50+ items for your whole store or Select all results for a filtered list. In the mobile app, you can select up to 25 products at a time.
To bring back archived products, open the Archived tab, select the products and unarchive them. They return as drafts, so run a second bulk action to make them active.
For a single product, open it and choose Active, Draft or Unlisted in the Status section, then click Save. Archive or unarchive a single product from More actions on its page.
Bulk Update Status With a CSV
A product CSV helps when status changes follow a list, such as a supplier’s discontinued items or a launch plan. Follow these steps:
- Export your products. Go to Products > Export and download the products you want to update.
- Keep a backup. Save an untouched copy of the file before editing.
- Update the Status column. Enter
active, draftorarchivedfor each product. - Import the file. Go to Products > Import, select Overwrite products with matching handles and import.
- Check the results. Filter your product list by status to confirm the changes.
The Status column accepts active, draft and archived, and if the column is included, every product needs a value. If you leave the column out entirely, imported products are set to active, which matters when you’re importing new products you aren’t ready to sell.
A separate Published on online store column controls Online Store visibility with TRUE or FALSE. A product can be active but unpublished from the Online Store, so check both columns when products don’t appear as expected.
Keep the URL handle and Title columns in the file so each status matches the right product, and test the import on a few products first. If you manage product data across Shopify, WooCommerce or Wix, Bulkflow supports bulk import, export and updates to existing product records with field mapping, which can help when you’re updating product data such as status for many records at once.
Use Apps for Large or Filtered Status Changes
Import and bulk editing apps make status changes easier when you need precise filters or very large batches. Many let you export only the product ID, handle and status, edit the status and import the trimmed file.
- Matrixify. Export products with the ID, Handle and Status columns, filtered by status or tag, then change the values and import.
- StoreRobo. Export products filtered by status or collection, keep the ID, Handle and Status columns and import with the option to update existing products.
- Ablestar Bulk Product Editor. Filter products and set a new status in the app, or upload a spreadsheet of product IDs and statuses.
Apps that match on product ID let you remove unrelated columns more safely than a native CSV. Still, check which columns the app will update and test on a small batch first.
Status and Sales Channel Publishing
Status and sales channel publishing work together, but they aren’t the same setting. An active product only appears on the channels it’s published to, while a draft product stays hidden everywhere even if channels are selected.
This matters for scheduled launches. If you schedule a product to publish on a channel, it must be active at that time, because a product still in draft won’t publish.
Duplicating an active product publishes the copy to the same channels as the original. Set duplicates to draft first if you need time to edit them before they go live.
Check Bulk Operation Status as a Developer
“Bulk status” can also refer to checking the progress of a bulk operation run through Shopify’s GraphQL Admin API. Bulk operations handle large queries and mutations in the background, and developers check their status to know when results are ready.
With Shopify CLI, the shopify store bulk status command checks bulk operations on a store. Pass the store with --store and an operation with --id, or leave out the ID to list all bulk operations from the last 7 days.
The command uses stored app authentication, so run shopify store auth first. Add --json for machine-readable output, and use shopify store bulk execute to start a new bulk operation.
Common Problems With Bulk Status Changes
Most status issues come from how statuses interact with archiving, channels and imports. Watch for these:
- Unarchived products didn’t reappear. They returned as drafts, so set them to active.
- New products went live too early. The CSV had no Status column, so they were imported as active.
- Active products aren’t visible. They aren’t published to the sales channel, or Published on online store is FALSE.
- A CSV import showed errors. The Status column was included but left blank for some products.
- A scheduled product didn’t publish. It was still in draft at the scheduled time.
- The wrong products changed. The filter or selection was broader than intended, so check it before applying the action.
Conclusion
Shopify bulk status changes give you fast control over which products customers can see and buy. Using bulk actions for everyday changes and CSV files or apps for larger lists keeps launches, seasonal updates and catalog cleanups on track.
